How to Choose a Hotel Tent Manufacturer? What Pitfalls Should You Watch Out for When Customizing Tents?

In recent years, tent hotels have rapidly gained popularity in scenic areas, cultural and tourism camps, and resorts. Compared to traditional log cabins or shipping containers, tent hotels require lower investment and can be set up more quickly, while offering a level of comfort comparable to that of a star-rated hotel. The market for tent manufacturers is a mixed bag, with middlemen engaging in private labeling, material substitutions, and low-price scams that are all too common. Most owners tend to focus solely on price when selecting a model, only to face problems later on, such as leaks, insufficient wind resistance, installation disputes, and a lack of after-sales support. So, how should you choose a hotel tent manufacturer? And what are some common pitfalls to avoid during the customization process?

I. How to Choose a Hotel Tent Manufacturer?

1. Check whether it is a direct manufacturer rather than a pure trading company

Direct manufacturers can control materials, craftsmanship, delivery times, and costs, and it is easier to trace the source if problems arise. Trading companies often subcontract work, resulting in significant quality fluctuations and lengthy communication processes. We recommend conducting an on-site or video inspection of the production workshop and material warehouse to confirm that the manufacturer has its own production lines and assembly capabilities. Avoid manufacturers that cannot provide on-site factory videos, refuse on-site visits, have extremely erratic delivery times, or are unable to implement designs even after multiple revisions.

2. Ensure Transparency in Material and Structural Specifications; Reject Vague Marketing Claims
90% of the cost variation in hotel tents stems from the materials used for the frame and canopy fabric. Prioritize 6061-T6 aluminum alloy or hot-dip galvanized steel tubes for the frame, and choose PVC knife-coated or PVDF membrane materials for the canopy fabric. Pay close attention to waterproofing, fire resistance, and UV resistance—materials with UV protection and anti-aging properties should ensure a service life of 10–15 years under normal use. Do not rely solely on verbal promises; be sure to request test reports from the past three years and compare them with the actual product specifications.

3. Custom Design Capabilities: More Than Just Standard Products

Established manufacturers employ professional structural designers who can create customized solutions based on site topography, local wind speeds and snow loads, and operational requirements—such as tent dimensions, door and window placements, raised platforms, restrooms, interior furnishings, outdoor patios, and photovoltaic storage systems. Small-scale manufacturers can only replicate standard models and are unable to optimize structures; forced modifications often create safety hazards.

4. Service Process and After-Sales Support

Professional manufacturers provide a one-stop service process, such as site survey → design renderings → structural stress analysis → manufacturing → installation guidance/on-site construction → post-installation maintenance. When signing the contract, confirm the production lead time, warranty period, spare parts supply cycle, response time for malfunctions, and plans for tarp repair and replacement. Low prices often indicate downgraded materials, simplified craftsmanship, or a lack of after-sales support.

II. What Pitfalls Should You Watch Out for When Ordering Custom Tents?

1. Low-Price Gimmicks and Substandard Materials

The quote may promise high-end membrane materials and reinforced aluminum alloy frames, but the contract only specifies “outdoor tarpaulin and aluminum alloy frame,” without indicating the brand, weight per square meter, or specifications. Upon delivery, these are secretly replaced with ordinary PVC and thin-walled profiles, leading to tarpaulin aging and leaks within 2–3 years, as well as frame corrosion and deformation. Require the manufacturer to include detailed specifications in a contract appendix, including the membrane model, weight per square meter, fire resistance rating, and frame profile specifications and wall thickness.

2. Misrepresented Specifications and Arbitrarily Exaggerated Wind Resistance Ratings

While verbally claiming resistance to Wind Force 10 or 12, manufacturers cannot provide wind load test reports or calculation documents. In mountainous or coastal campsites prone to strong winds, the membrane tears and the frame sways. Require manufacturers to provide **third-party test reports on wind and snow loads for the corresponding models**, which must be verified against the meteorological conditions at the project site; do not rely solely on verbal claims.
3. Vague Quotation Lists and Layered Price Increases Later On

Initial low quotes often cover only the main tent structure, with no pricing for other items such as the base platform, waterproof skirting, doors and windows, pre-buried piping, transportation, installation, and accessories—all of which incur additional charges. Require manufacturers to provide an itemized quotation breakdown that distinguishes between product prices and optional extras, clearly stating whether shipping costs and installation guidance fees are included to eliminate hidden charges.

4. Warranty Loopholes and After-Sales Evasion

While the overall warranty is for 5 years, the frame is actually covered for only 2 years and the canopy fabric for just 1 year. The definition of “human-caused damage” is interpreted extremely broadly, and damage to the canopy fabric or leaks are generally not covered under warranty. Require the manufacturer to specify in the contract the warranty periods for the frame, the canopy fabric, and accessories separately, and clearly state the response time for after-sales service, as well as the procurement channels and prices for replacement parts. The advantage of major manufacturers is that they maintain long-term inventory of replacement parts, eliminating concerns that repairs will be impossible if the manufacturer goes out of business years later.

Summary

When purchasing hotel tents, it is recommended to choose an established and professional manufacturer. While low-priced products may save money initially, the subsequent costs of repairs, replacements, and business downtime often far exceed the initial price difference. When placing a custom order, be sure to include details regarding materials, wind resistance, waterproofing, installation scope, delivery time, acceptance procedures, and warranty in the contract—avoid focusing solely on price. It is advisable to ask plenty of questions, examine various options, and compare them thoroughly before making a decision to avoid selecting substandard products.
